Goods move, documents move, and the two stop talking to each other. Odoo keeps them on the same trip.

A truck arrives with 400 cartons. Someone notes it on a register, someone else raises the invoice, and a third person prepares the e-way bill from a different copy of the same number. Warehouses are not short of work. They are short of a single version of what happened.

Warehouses and locations, GRN, allocation, dispatch, docket and client billing on one record.

Problems we solve

Where the physical and the paperwork drift apart.

"We find out a stock difference after the auditor does"

One number for the whole godown hides which rack is wrong. Stock by location, with issues recorded against a person, means a difference points at a shelf and a shift rather than at the entire warehouse.

"Every client's monthly bill is rebuilt in a spreadsheet"

Storage is easy. Handling, putaway, packaging and the odd rework are the arguments. Charging against each movement, so the invoice is generated, turns those conversations into line items.

"Vehicles wait because the dispatch note wasn't ready"

Documentation is found last, and the driver waits while someone photocopies. Once dispatch, docket and e-way bill come from the same order, the papers are ready when the goods are.

The approach

From inbound truck to client invoice.

  1. 1

    Locations are set up properly

Warehouses, zones, racks and bins, and the rules for putaway. A location plan that matches how your team actually walks the floor is worth the effort here.

  2. 2

Inbound is checked against the order

Goods receipt matched to the purchase order with damage and shortage noted at the gate, not discovered when the client complains.

  3. 3

    Allocation, loading and dispatch

Client orders allocated from real available stock, with the load plan, docket and e-way bill generated from the same dispatch.

  4. 4

Clients are billed and books are closed

Storage, handling and other charges collected from movements, client invoices raised, and the warehouse's own books closed by the same team.

What's included

The warehouse side, and the client billing.

Warehouse side

Multi-location stock

Warehouses, zones, racks and bins as separate locations, with stock visible at every level and client-owned goods distinguished from your own.

GRN and quality checks

Goods receipt against the purchase order, with damage, shortage and rejection recorded at receipt rather than argued about later.

Allocation and loading

Client orders allocated from available stock, with the load plan built from the dispatches that are actually going out that day.

Dispatch, docket and e-way bill

One dispatch produces the note, the docket and the e-way bill, so the truck is not held up while paperwork is found.

Client billing

Contract rate cards

Storage, handling and transport rates per client, applied automatically instead of looked up in a spreadsheet each month.

Movement charges

Putaway, packaging, rework and special handling captured against the movement, so every line on the invoice has a reason.

Detention and demurrage

Extra time on vehicles and late handovers recorded against the order, so the cost is recovered instead of absorbed quietly.

Client portal

Clients can see their own stock, dispatches and invoices, which removes most of the daily status calls to your office.

FAQ

Questions warehouses ask.

Something else? WhatsApp us and a member of the team will reply.

We run a warehouse, not a factory. Does that change the setup?

It removes a lot. No bill of materials or work orders — what matters is inbound against a purchase order, putaway, allocation and dispatch, and that is what we configure. We also keep the manufacturing modules out of the way so your team is not clicking through screens that don't apply.

Can you handle more than one warehouse, or stock held for different clients?

Yes. Each warehouse, rack and bin can be a location, and where clients' goods are stored separately, that ownership is tracked too, so you never bill for stock that belongs to someone else. That distinction alone usually settles most billing arguments.

Our clients keep asking for their own view of stock. Is that possible?

Yes. A client portal can show stock, dispatches and invoices for their own goods only, with their own login. It removes a large share of the daily status calls that reach your office before anyone has looked at a screen.

We bill hourly for handling. Can that be captured?

Yes. Handling and other service charges can be recorded against the movement or the period, so the client invoice is built from what actually happened rather than from a rate card and an estimate. Where you charge minimums, they apply before the hourly rate.
