Stationery runs on thin margins and fast shelves. Stock that isn't moving is where the money goes.

Anyone can sell a pen at a profit. The business is in the copy paper, the art supplies, the exam season rush, and the six hundred SKUs of last year's diaries still sitting in the back room because they were ordered for a season that is over.

Pack sizes, institution price lists, kit and bulk orders, credit terms, and the stock nobody is buying.

Why we specialise here

Stationery is not one product list. It is three businesses sharing a shop.

Counter retail

Fast-moving daily items, small quantities, price sensitive and judged on service. This part needs a fast till and honest stock, nothing more.

Schools and institutions

Written quotations for two hundred items, one rate per category, supply across a term, and credit that stretches to match. This part needs lists, not counters.

Bulk and seasonal

Exam stationery, diaries, greeting items and corporate gifting. Ordered once a year, and wrong quantities sit on the shelf for a very long time.

Problems we solve

Where the season goes wrong.

"We sell a lot and still don't know what's making money"

Volume is not the same as margin. A report by item, showing what moved, what it was bought for and what it sold for, tells you which lines to push and which to stop ordering.

"Schools send a list of 200 items and it takes two days"

Every quotation is typed from scratch, and last year's rates creep back in by mistake. A quotation template with the item list already filled in turns that into filling one column.

"We keep extending credit to institutions that stopped paying months ago"

The next order is supplied because the previous one is still outstanding and nobody said otherwise. Terms and limits per institution make it a decision, with the term's dues visible while you are quoting the next one.

The approach

From a supplier list to a season that works.

  1. 1

    Item master with pack sizes

Every item with its brand, category, purchase and selling units, and the conversion between a piece, a pack and a box. One item, not four.

  2. 2

    Price lists per customer type

Counter retail, wholesale dealer, school and institution rates, with quantity slabs where you use them. A quotation can pick the right list automatically.

  3. 3

Counter, kits and bulk orders run

Barcode billing at the counter, kit templates for schools, and bulk orders for institutions, all reducing the same stock.

  4. 4

    Review before the next season

Slow-moving and dead stock by value, reorder levels for the fast movers, and the books closed by the same team.

What's included

The counter side, and the buying side.

Counter side

Item master and units

Piece, pack, dozen and box with automatic conversion, so the same pen is not a separate item in every form it is sold in.

Barcode billing

Scan and bill through the rush, with the price list applied automatically and no re-typing of a discount.

Kit and bulk order pricing

Kit templates and a quotation sheet with the item list pre-filled, so a large institutional list takes an hour instead of two days.

Reorder levels

Fast-moving daily items flagged before they run out, and slow items flagged before they are bought again.

Buying & money side

Purchase planning

What to reorder and what not to, based on what actually sold last season rather than on what sold well the year before that.

Dead stock and ageing

Last season's stock by value, and how long it has been sitting. Usually the single biggest number a stationery shop has not been looking at.

Institution credit terms

Terms and limits per school or institution, with the term's dues visible before the next order is supplied.

GST and purchase matching

HSN rates per item, input credit matched against GSTR-2B, and the books prepared from the same data.

Your CA stays

Audits stay with your CA; we hand over a clean, current ledger.

Pricing

Two ways to engage.

FAQ

Questions stationery businesses ask.

Something else? WhatsApp us and a member of the team will reply.

We sell in dozens, packs and boxes. Can the system handle units?

Yes. Each item carries its purchase and selling units with the conversion between them, so a box of 24 is entered once and can be sold as a box or as a single piece. Stock is held in the unit you buy in and reported in both, which is where unit mistakes usually start.

We make school kits. Can the kit pricing be automatic?

Yes. A kit can be a fixed set of items priced as one product, so the counter prices it without adding up eight lines. For large institutional lists, a quotation template with the item list already filled in means you fill the quantity and rate columns instead of retyping two hundred items.

Schools buy on credit for a whole term. How is that tracked?

Terms and limits are set per institution. The due amount follows the delivery, so you can see what is outstanding for the term even while the next order is being supplied, and stop extending credit where it has stopped working for you. It is an uncomfortable report the first time, then it prevents the bigger problem.

How do you stop last season's stock from sitting?

Items that have not moved in a season are reported by value, so the purchase decision for the next season is made against last season's leftovers. Seasonal items are usually the largest hidden cost in this trade, and they are easy to spot once somebody is looking at them monthly instead of at the time of the next order.

Know what is moving, and what is not.

Tell us how many items you stock, whether you supply schools, and how you buy for the season. We'll show you what the stock report looks like once it is honest.
