Your clients' numbers arrive in every format imaginable. Odoo puts them in one place.

A WhatsApp PDF from one client, an Excel sheet from another, and a bank statement that matches nothing. Then April arrives. The work gets done, but it gets done again next year because none of it was saved in a way the next person can use.

Client files, document checklists, deadlines, fee collection and your firm's own books.

On your Odoo

  • Client master with PAN, GSTIN and branch
  • Document checklist per client and per period
  • Tasks assigned to staff, with due dates
  • Working papers and notes kept on the file
  • Fee invoicing, TDS and service GST

Problems we solve

Where the month gets eaten.

"Clients send last year's data in whatever form they have"

One client sends a Tally backup, another a photo of a ledger, a third nothing at all. Every engagement then starts with a phone call. Odoo keeps one file per client with a fixed list of documents, so the gap is visible on Monday, not in the last week of the deadline.

"April and October turn into all-nighters"

Work piles into the deadline because there is nowhere to see it until it is urgent. With tasks, due dates and staff assignment in the system, a partner can see in the first week of March which returns are not moving, and send the reminder then.

"We don't know which client hasn't paid our fee"

Fees get discussed verbally, sometimes years later. Fee invoices raised from the system, with ageing, turn the conversation into a statement. It is a less pleasant conversation, but it is a short one.

The approach

From a WhatsApp forward to a finished file.

  1. 1

    Client master opens clean

PAN, GSTIN, address, engagement type and the partner or staff member responsible. This is the part most firms do on a whiteboard, and it is worth doing properly.

  2. 2

A checklist goes to the client

Bank statements, sales registers, purchase bills, TDS certificates, previous year's accounts. Your staff tick items off instead of asking for the same four things four times.

  3. 3

    Work is assigned and tracked

Each task has an owner and a date. A return stuck with one person for nine days shows up on the review screen, not in a partner's memory.

  4. 4

    Fees and books close together

Fee invoicing, TDS received, service GST and the firm's own P&L come from the same data we hand to your auditor.

What's included

The practice side, and the books behind it.

Practice side

Client and engagement master

One record per client with PAN, GSTIN, branches, engagement type and the responsible staff member.

Document checklist

A standard list per client and period. Your team marks what has arrived, and the client sees what is still pending.

Tasks and deadlines

Return preparation, review and sign-off assigned to people with dates, so the review meeting has something to look at.

Working papers on the file

Notes, workings and prior-year comparatives attached to the client, not left in a folder on someone's desktop.

Money side

Fee invoicing and ageing

Raise professional fees against the client, follow up on the ones that slip, and see the total outstanding at any time.

TDS on client receipts

TDS collected tracked per client and per bill, with the certificates logged on the file.

Service GST on your fees

Your own GST on advisory and accounting services prepared from the fee invoices, not retyped at quarter end.

Firm expenses and payroll

Salaries, rent, professional expenses and equipment in one place, so the firm's own P&L is not a separate project.

Pricing

Two ways to engage.

FAQ

Questions firms ask before starting.

Something else? WhatsApp us and a member of the team will reply.

We are a three-person firm. Is all this system too much for us?

No. A small firm needs fewer people chasing documents, not more places to look. We start with the client master and the document checklist, which is where the real time goes. Everything else can follow once the files are in one place.

Can each member of staff see only their own clients?

Yes. Access is set by role, so a junior can work on their assigned files without opening a partner's engagement. Restricting by branch or by client group also works when you have more than one office.

Do our clients have to log in to send documents?

Not required. Most of our clients email or WhatsApp the file and your team marks it received. A client login is available if you would rather collect documents directly from the source, which helps when a client's data is large or changes often.

Who does the audit and peer review?

You do, and we hand over in the format you need. Our job is to keep the file, the working papers and the trial balance current, so nothing has to be rebuilt in the last week before the review date.

Stop rebuilding the same file every year.

Tell us how many clients you handle, how your team collects documents today, and where the deadline month hurts most. We'll show you what changes for a firm like yours.
